The Challenges

Most of the consultancies even in today’s modern technology are relying on pen and paper or excel sheets to document students information. There is a high chance of losing the information or leakage of student as no proper platform is used to collect information and notification to remind of future task to be performed.

Objective

  • Online web application to simplify and ease of capturing information of the students
  • Refine the process of assigning task among staff within the office or branches
  • Built a human-centered design process to make daily task easier
  • What platform and browsers they use to access the system?
  • How satisfied are they with existing system?

  • Empathise - Understand users needs and problem, Analysing competitor product, Guerilla testing, The problem statement
  • Define - Analyse observations to define the problem, defining main pain points
  • Ideate - Collecting crazy creative ideas, Sketching solution, Interactive Wireframes for each aspect of the problem
  • Prototype - UI design, Prototyping in Invision
  • Test - Usability testing and validating, returning to users for feedback
  • Deliver - Execute vision into product

Research

To start designing the platform we had to first understand how consultancies operate, the goals and behaviors of the clients. This application was new so no old application to compare with except competitors product and figure out following features that were missing in their product. This will keep our client ahead of the game from their competitors.

Task management not present New feature to add, assign and complete task among staff members across the globe.
Student queues and brief description of reason for visit Proper queuing system to add students in arrival order and add short description for the purpose of the visit.
Uploading bulk documents of upto 5MB each Upload management to upload upto 10 documents at a single time

Based on the requirements provided by client, we created customer journey to assume user experience.

There were many features that client wanted to build in the application for the first phase of the project. With the help of Eisenhower matrix we were able to decide on and prioritize tasks by urgency. That way less urgent and important task were either delegate or not done at all.

Usability testing

To identify usability problem we conduct a effective way to test the application with actual users. Main key points that we consider before the test were:

  • Clearly define the goals
  • Why are we conducting these tests?
  • What are we trying to achieve?
  • What will define the test to be successful?
  • Where do you think most issues will encounter?

We had two users with different technological background. Each users were given tasks to perform. We were not showing them or telling them how to finish task rather overlooking all the behaviors, touch points, facial expression and the way they are achieving the task. After completing the test, lots of issues were noted which was reasonable and we got those fixed before the first release.

Deliver

MVP or the first release included web application with all the minimum features that the client asked for. We are working on improving the dashboard and also on mobile & tablet app for future release.

Takeaways

All in all, I really enjoyed the chance to work on this application with some talented people. This project taught me a lot about both education consultancy industry and Education User experience. Some of the few things that I learned:

  • Research is key to success
  • Listen to everyones view who are related to the project
  • Don't dare to experiment
  • Test and validate
